Digital PDFs and scanned PDFs: what changes?

A digital PDF usually contains selectable text. A scanned PDF stores a picture of a page, so its text has to be read from the image before translation. Both can contain tables, stamps, handwritten notes and names that need careful handling.

For a readable scan, upload the original file when possible. Cropped margins, glare and blurred characters can hide information that no translation tool can reliably recover. If a page is difficult for you to read, provide a clearer copy before ordering.

• Include all pages and both sides when the document has text on the back.
• Keep stamps, signatures and handwritten notes visible.
• Check that the page is upright and the text is sharp at normal viewing size.
• Use the PDF rather than screenshots when you already have the original file.

What to check in your translated PDF

Look at names, dates, reference numbers and table entries before using a translation. Translation can change text length, so a translated page may not look identical to its source. ExpressAI delivers document translations as PDFs; it does not promise a pixel-for-pixel copy or an editable Word file.

A retained name such as María García should keep its accents unless you provide an official alternative spelling. For an ambiguous date such as 03/04/1995, tell us whether the source uses day/month/year or month/day/year. These instructions help preserve meaning without silently changing the source.

When should you add human review?

AI-only translation can help you understand a document or prepare a draft. It does not include human review or a Certificate of Accuracy. For a document that needs to be professionally checked, choose Certified Translation.

The certified option adds a translator’s review and a signed Certificate of Accuracy. Check the receiving institution’s requirements before ordering. Notarization, apostille and additional electronic signing are separate services.
